How to Create a Mailing List
A newsletter can be one of your most powerful marketing tools. But to be effective, your newsletter should be sent out consistently so that your business is the first one to come to your potential client’s mind when they require the service you provide.
However some people have difficulty putting together a list of potential readers. If you can’t think of who to send your newsletter to, then try out these ideas to build up your mailing list
- Use your website – Put a subscription box on your website so that visitors and clients can join up
- Business cards – Collect business cards from everyone you meet and put their details down on your mailing list
- A subscription book in your office/shop – Keep it visible in a handy position to make it easy for customers to sign up. Try leaving it in your waiting room or on your counter if you have one.
- In correspondence – A subscription note/link at the bottom of emails or with invoices you send out
- Previous clients – Look through your invoice book for past clients and send them your newsletter so that they remember you
- Your current network – Send your newsletter to family, friends and associates and ask them to send it on to anyone they think might be interested.
When you are sending out your newsletter, be sure to give readers the option of unsubscribing – you don’t want to be accused of sending SPAM.
If you have a newsletter that is full of great content, your readers will look forward to receiving it and your mailing list will grow without any effort.

Proofreading Your Newsletter
Have you ever sent off an important document only to realise later that there were errors in it? When you are concentrating on a document it is easy to overlook spelling and grammar mistakes. Here is a checklist to help proofread your document:
- Does the text make sense and flow in a logical order?
- Is the purpose of the document clear?
- Are there any grammatical problems?
- Are there any spelling mistakes or typos?
- Are any words accidentally repeated?
- Have you used the correct spelling of words such as their/there, its/it’s or to/too
We all make mistakes, so it pays for you to have someone else run a fresh pair of eyes over your work to ensure it is polished and professional.

Newsletter Tips- Writing in Plain English
To keep your newsletter user-friendly, here are a few tips to help get your message through to your reader.
- Use familiar, everyday words that readers will understand.
- Engage the audience by using personal pronouns such as ‘we’ and ‘you’ except in formal contexts.
- Avoid euphemisms, clichés, and overused or ‘trendy’ words or phrases.
- To make your message clear, simple and easy to follow, keep your sentences short.
- Use lists to break up complicated text.
